Hello Exhibitors - Important Information!

Outdoor Hospitality Conference and Expo will take place November 4-6, 2024 at the Oklahoma City Convention Center in Oklahoma City, OK. 

Please note the following:
  • IMPORTANT: For large trucks/park models/etc..., the move-in schedule can be found HERE.
  • ALL park model exhibitors will require a fire extinguisher at the booth.
  • All vendors must follow designated Booth Guidelines regarding vehicles on the show floor during move-in, show days and move out. 
  • Hosted Buyer meetings will be held in the Exhibit Hall on 11/4 (1-3 PM) and 11/5 (1-3 PM).
  • Thursday morning move-out available upon request for large vehicles and structures.

Each 10' x 20' Hosted Buyer booth package will be provided with the following:

Each 20' x 20' general booth package will be provided with the following:

Each 25' x 25' space does not included furnishings unless you have a Hosted Buyer booth. In that case, the following is included:

  • 1 - 30" Round x 30" Tall table

Each 20' x 50' space does not included furnishings unless you have a Hosted Buyer booth. In that case, the following is included:

  • 1 - 30" Round x 30" Tall table

Additional Advance Shipment Information

Shipments should arrive between Monday, September 2, 2024 and Thursday, October 31, 2024 between 9 AM and 4 PM CT ONLY. 

All shipments received within these dates/time will be charged advance to warehouse material handling. If the shipments are received outside these dates/times, they will be subject to a prevailing rate.

Shipments that arrive at the warehouse after Thursday, October 31, 2024 cannot be guaranteed to arrive before show opening. Additional handling charges will be added for expedited trucking and freight.

Direct Shipments

Direct Shipment to Facility

Shipments will be received at the exhibit facility on Saturday, November 2, 2024 through Thursday, November 7, 2024.

Shipments will only be received during exhibitor move-in hours and will be charged direct to show material handling.

  Outbound Shipping

Please schedule your carrier to pick up your outbound shipment during move-out. All drivers must be checked in with Grit by the deadline time at the top of this page. Grit reserves the right to re-route your freight onto another carrier. If you would like to use Grit’s preferred carrier, review GTS’s shipping form.

Each outbound shipment must have a completed Material Handling Agreement/Bill of Lading in order to ship materials from the event regardless of the carrier.  To save time‚ we encourage you to complete the electronic Outbound Shipping Form in advance or visit the Service Desk at show site.
